In 2021, we are pushing to upgrade our annual Cross-Canada program. We sincerely welcome youth talents to join us for planning a better intergenerational public event across Canada. As a management team member, the Human Resource Specialist plays an essential role in assisting Love Caravan’s team with employee and volunteer recruitment, record maintenance, payroll processing, and providing clerical support to all employees. We’re looking for a take-charge, perceptive and creative individual who is a conceptual thinker with superb organizational, time management, administrative, and communication skills.

Experience in planning events (including online events, auctions, public shows, and fundraising events) is a major asset.
Virtual Event and Meeting Management Certificate (VEMMC) or Certified Virtual Events Planner (CVEP), or proof of other relevant formal training is an asset, but not required.
Ability to work well both independently and collaboratively with strong organizational, multi-tasking, and time-management skills to accomplish works within the time limit.
Excellent leadership and team-building skills and the ability to delegate responsibilities to meet quality expectations. Outstanding communication skills (both written and oral).
Great reliability, detail and target-oriented, team attitude coupled with a flexible, “can do” attitude. The ability to take initiative when required.
Excellent interpersonal skills, including the ability to work collaboratively with a wide range of stakeholders (including volunteers, partners, and audiences). Professional business presence and acumen and bilingual skill will be plus.
Proficiency with collaborative software, social media platforms, and online event apps is an asset.
Coordinating planning and execution of a variety of shows and events as Love Caravan program need. Managing all aspects of event planning to meet the strict deadlines and budget demands.
Ensuring compliance with insurance, legal, health and safety obligations.
Providing outstanding customer service and organizing memorable events that meet quality expectations. Researching and studying in order to stay on top of trends and new tools in the virtual event field.
Arranging and conducting dry run practice sessions, as well as anticipating and resolving issues prior to day of the event to ensure all parties are prepared for success. Proactively handling any arising issues and troubleshooting any emerging problems on the event day.
Maintaining our regular event's frequency and quality as well as the positive partnership with different organizations and people. Helping select the different talents and activities which will be at the events.
Preparing and distributing communication, organizing event volunteers and supplies, maintaining accurate information in databases, and reconciling information.
Collaborating with the Public Relations and Fundraising departments in outreaching approaches as needed. Building and maintaining relationships with multiple stakeholders and partners. In collaboration with the Marketing Department, developing event marketing and communications materials to publicize event.
Overseeing activities related to volunteer recruitment and training. Directing volunteers during events.
Updating and managing calendars, assignment timelines, and evaluating their successes. Creating reminders for relevant parties to ensure all employees and volunteers are on top of upcoming event deadlines and dates.
Performs other related duties as assigned.
